Frequently Asked Questions

Choosing the right planning or coordination support can bring up plenty of questions. Here are answers to some of the questions couples ask us most often about wedding planning, Wedding Management, service fit, logistics and working with Ever After Unscripted.

Can a wedding planner help protect our budget? Yes. A wedding planner cannot guarantee that you will never spend more than originally expected, but professional guidance can help you make more informed decisions about where your money is going. We can help you establish realistic priorities, evaluate how different choices affect the larger budget, identify costs that may be easy to overlook and recognize when one decision is likely to create additional expenses elsewhere. Our role is not to decide what is “worth it” for you. It is to help you understand the tradeoffs so you can make intentional decisions about where you want to invest—and where you would rather not.

Why does Wedding Management begin before the wedding day? Because responsible wedding-day coordination requires preparation before the wedding arrives. Our Wedding Management service begins approximately eight weeks before your wedding so we can learn the plan you have created, review vendor contracts for logistical details, build and manage the wedding-day timeline, confirm details with your vendor team and identify responsibilities or logistics that still need clarification. By the time your wedding day arrives, our team should already understand the plan we are responsible for executing—not be learning it for the first time.

What is the difference between Wedding Management and day-of coordination? Wedding Management includes the preparation required to coordinate a wedding responsibly. Rather than arriving on the wedding day and attempting to execute a plan we have not been involved in, we begin approximately eight weeks beforehand. During that time, we review the logistics you have created, develop the wedding-day timeline, communicate with vendors, clarify responsibilities and prepare our team for execution. The coordination happens on your wedding day. Wedding Management is the service that prepares us to do it well.

Do you offer limited or wedding-day-only coordination? For exceptionally well-prepared weddings, we may be able to create a limited-scope Personalized Wedding Experience focused primarily on wedding-day coordination and execution. Even limited wedding-day support requires a professional handoff before the wedding. We need enough time and information to understand your existing timeline, vendor team, venue requirements, ceremony details, setup responsibilities and other logistics our team will be expected to execute. If your wedding needs more preparation than a limited scope allows, we will recommend Wedding Management instead.

Why should we hire an independent coordinator if our venue has one? Venue coordinators and independent wedding coordinators can both be valuable, but their responsibilities are different. A venue coordinator primarily represents the venue and the responsibilities included in your venue agreement. Our coordination team represents the wedding plan as a whole—connecting the timeline, vendor communication, ceremony and reception logistics, responsibilities and transitions across the celebration. Some venues provide extensive coordination support and others provide much less, so we recommend understanding exactly what your venue includes before deciding what additional support you need.

How do we know whether Partial Planning is the right fit? Partial Planning may be a good fit when you have already made meaningful progress but still have important planning work left to complete. Instead of basing the service on how many months remain before your wedding, we look at what has already been handled, what remains unfinished and how much professional responsibility is still required. Partial Planning begins at $3,450, with the final scope and investment determined after we understand the planning work that remains. You do not need to determine the right level of support before contacting us—we will help you evaluate that during your consultation.

Are micro-weddings and elopements simpler to plan? Not necessarily. A smaller guest count can reduce some logistics, but an intimate wedding can still involve venue requirements, vendors, timelines, transportation, ceremony details, dining arrangements and many of the same decisions as a larger celebration. Our Micro-Wedding Planning service is designed for weddings of 40 guests or fewer, while Elopement Planning supports celebrations centered primarily around the couple and the experience they want to create. Smaller can be more intimate. It does not automatically mean simple.

What does a prepared wedding-day team mean? It means staffing is based on what your wedding actually requires rather than assuming one person should be everywhere at once. We consider factors such as guest count, venue layout, timeline, ceremony and reception locations, logistics, setup responsibilities and the scope we have been hired to manage when determining appropriate wedding-day staffing. The goal is not a crowd of staff. It is appropriate coverage where the moving pieces actually are.

Should we hire a planner before choosing a venue? If you are considering Partial or Full-Service Planning, involving a planner before signing a venue contract can be extremely helpful. A venue can look perfect while creating challenges related to capacity, rentals, weather backup, vendor restrictions, access times, transportation, setup or the overall budget. We can help you evaluate how a venue will actually function for the wedding you are planning—not simply whether it photographs beautifully. If you have already chosen your venue, that is completely fine. We can begin from where you are.

Can you attend venue tours or help evaluate venues? Yes, when venue sourcing or evaluation is included in your planning scope. We can help consider factors beyond appearance, including capacity, layout, accessibility, included rentals, vendor requirements, setup and breakdown windows, weather contingencies and other logistical considerations that can affect both the wedding experience and your budget. Pretty venues are easy to find. Functional ones are a lot harder. Wedding days need both.

Do you pay vendors on our behalf? No. You remain the contracting client for your wedding vendors and make payments to them directly. Depending on your planning service, we may assist with vendor research, recommendations, communication, contract review for planning and logistical considerations, and keeping important deadlines visible—but vendor agreements and payments remain between you and the vendor. This keeps financial responsibility and final approval in your hands.

Does coordination include décor setup and breakdown? Reasonable setup of smaller, clearly labeled personal décor may be included when it has been discussed and accepted as part of your coordination scope. Large-scale décor installation, extensive DIY setup, furniture or rental installation, heavy lifting and substantial breakdown are not automatically included in Wedding Day execution. Rental companies are generally responsible for setting the items they provide. If your wedding requires additional setup or breakdown support, tell us what you are planning. We can determine whether additional staffing or a separately quoted enhancement is appropriate.

Which Ever After Unscripted service is right for us? That depends less on how far away your wedding is and more on what has already been completed, what remains unfinished and how much professional responsibility you want us to assume. Wedding Management is designed for couples who have planned their wedding and need a professional team to take ownership of the final preparation and wedding-day coordination and execution. Partial Planning is for couples who have made meaningful progress but still have important planning work that needs professional support. Full-Service Planning provides professional guidance throughout the planning process for couples who want support building and connecting the wedding from the beginning. Micro-Wedding Planning, Elopement Planning and Personalized Wedding Experiences are available when the celebration or level of support calls for a different approach. You do not need to diagnose your own service before contacting us. Tell us what is already planned, what still feels open and where you want professional support. We’ll start there.
